1. Position Overview
The Office Administrator serves as our local Office Operations Representative in the U.S. This role focuses strictly on essential administrative functions, maintaining physical office readiness, and facilitating smooth communication between the U.S. office and our specialized team in Vietnam.
2. Key Responsibilities (Scope of Work)
- Office Operations: Visit the office 1–2 times per week to oversee and handle routine administrative duties.
- Mail & Logistics Management: Receive, scan, and securely forward incoming business mail and packages to designated personnel in a timely manner.
- Facility & Records Maintenance: Maintain physical office records and ensure company signage and space remain presentable and up to standard.
- Visual Documentation: Perform photo or video walkthroughs of the office space upon request.
- Partner Verification Support: Attend Partner Verification Calls on an ad-hoc basis to represent local office operations
- Reporting: Compile and submit monthly timesheets along with a monthly activity summary on schedule.
3. Candidate Qualifications & Requirements
- Flexible schedule with the ability to be on-site for 5–8 hours per week.
- Currently residing in Delaware (Wilmington or Newark areas strongly preferred for commuting convenience).
- Mandatory Documentation: Must be legally authorized to work in the US with valid government-issued ID for background/onboarding verification
- High degree of integrity, meticulous attention to detail, strong sense of responsibility, and strict adherence to confidentiality guidelines and role scope limits.
